Create a defined process for correcting inspection-preventing defects, scheduling repairs, verifying completion, and preparing the fleet before deadlines.
Correct Defects Before Issuing a Passing Inspection
An annual inspection is pass or fail. It should not be treated as a list of repairs that can be postponed after a passing sticker is issued.
If an applicable component does not meet the federal minimum standard:
| 1. | Document the defect. |
|---|---|
| 2. | Remove the vehicle from service when necessary. |
| 3. | Authorize the correct repair. |
| 4. | Complete and verify the repair. |
| 5. | Reinspect the affected component. |
| 6. | Issue passing documentation only after the vehicle satisfies the applicable requirements. |
Backdating inspection reports, issuing stickers before repairs are verified, or documenting an inspection that was not completely performed can create far greater exposure than allowing an inspection to expire while the vehicle remains out of service.
Use a 30-Day Inspection Preparation Schedule
30 Days Before Expiration
- Identify every vehicle approaching its inspection deadline.
- Confirm the correct inspection date.
- Review maintenance and defect history.
- Schedule the inspection and any expected repairs.
- Verify that the selected inspector is qualified.
- Reserve replacement equipment if downtime would affect routes.
14 Days Before Expiration
- Perform a comprehensive pre-inspection.
- Order needed parts.
- Correct brake, tire, suspension, lighting, and structural issues.
- Resolve active warning lights.
- Review unresolved driver reports.
Seven Days Before Expiration
- Confirm that repairs are complete.
- Road-test the vehicle when appropriate.
- Verify that the inspection appointment remains scheduled.
- Confirm vehicle and carrier information.
- Assemble the maintenance documentation.
Day of Inspection
- Present the vehicle clean enough to inspect.
- Remove unnecessary cargo.
- Provide access to all necessary areas.
- Confirm current mileage and unit identification.
- Document all findings.
- Do not place the vehicle back into service unless it passes.
After the Inspection
- Review the completed report for accuracy.
- Place qualifying documentation on the vehicle.
- Retain the report for at least 14 months.
- Update the fleet-maintenance system.
- Schedule the next deadline with advance reminders.
- Track advisory repairs that were not part of the pass/fail determination.
